Your seller-fee invoice and payout
What is this?
When your unit sells, RideAuction invoices your dealership for its seller fee and deducts it from your payout.
How does it work?
- Combined invoices are not switched on yet. When RideAuction turns them on, you may get one seller-fee invoice for all your sold units of an auction, deducted from your settlement as before, and a separate invoice for Reserve Fees on your unsold units of that auction. A Reserve Fee invoice on unsold units is not deducted from any settlement. Until then you get one invoice per unit. Your invoices page always shows what was actually issued.
- Seller-fee invoices and Reserve Fees are shown only to staff with the “Manage auction activity” authority; other staff see a short note on the Invoices page. Bills of Sale stay available to everyone who works on the sale.
- RideAuction prepares the automatic Bill of Sale; you do not need to generate it or upload a duplicate. Being prepared can be a shared RideAuction setup task. Your dealership has no BOS approval or upload step. Older seller-uploaded records remain retained audit evidence; the platform no longer accepts ownership-paperwork uploads. Choose Money & documents → Bills of Sale in the sidebar (on mobile, open Menu), search by unit, auction or lot number, then Units you sold → View Bill of Sale. Each buyer/seller list has its own pages; search is retained. Open a unit from Sales for its Bill of Sale panel. Unsold units and fee-only invoices have no sale document. Prepared is not issued; issuance waits for the issued purchase invoice, verified sale evidence and approved legal wording. Only the current issued version offers Download PDF. Corrections preserve earlier versions in history. Active authorized staff of both dealerships may download; other dealerships cannot. RideAuction issues as intermediary, not the unit owner. Notifications contain a secure action link, never an attachment. Provincial ownership transfers and original paperwork remain between dealers. Existing payment and release safeguards are unchanged; Only the verified automatic issuance process can issue a BOS.
- For a missing Bill of Sale email, first check Sales → the sale → Wholesale Bill of Sale and your notification preferences. Admin can review delayed, failed or suppressed notices. Retries retain the same business-event identity; corrections use a new issued version. A message is not proof that an old version remains current, and no notification changes settlement or release authorization. Do not resend private paperwork by email to work around a failed secure download.
- The sale’s Bill of Sale panel explains whether it is pending preparation, waiting for an issued purchase invoice, blocked by evidence or legal approval, or paused. Prepared is not issued. Only the current verified issued version has Download PDF; a corrected original stays in history. A pause on new issuance does not itself remove valid historical access. If access is intentionally disabled, contact RideAuction rather than repeatedly reloading. If status could not be checked, use Check status again or renew your session. Ask Admin to investigate missing/corrupt files or an evidenced correction; do not replace the original. RideAuction is the issuing intermediary, not the owner. Dealerships handle the legal ownership transfer and provincial registration directly; the BOS performs neither, and existing release-evidence reviews remain separate.
- The BOS preserves the selling and buying dealerships as recorded when the sale formed, including recorded licensing details where available. Later profile edits do not change those identities. If an identity is wrong, contact Admin with evidence for a reviewed correction version; originals remain retained. No licence validity or legal authorization is inferred from a recorded licence number.
- A pause on new preparation, issuance or email delivery does not itself invalidate an existing issued document. Current authorized staff can continue using secure history/downloads when document access is enabled. An email may be held even though a valid PDF is already available; open the sale record to check. Existing revoked, superseded or invalid evidence remains unavailable.
- Seller proceeds remain separate from RideAuction fees and transport invoices. Recorded delivery or invoice issuance does not prove seller settlement. Ask RideAuction to reconcile the actual settlement receipt.
- The Bill of Sale layout, what it shows and why it can wait are explained in What your Bill of Sale shows. Your seller-fee invoice is not on the buyer’s 48-hour payment rule: the fee is deducted from your settlement. The buyer’s 48-hour deadline governs the buyer’s payment only; this Help does not promise when your proceeds are paid out, because a settlement is recorded separately.
- The sale result is final: the unit sold at the final price shown on the lot.
- Your sale progress shows Sold → Buyer / payment → Handover → Settlement → Completed. It advances from verified records, not a dealer confirmation at every stage. The next action names the responsible party. Expand Sale details for the underlying evidence. Recorded payout alone does not establish bank reconciliation or overall completion. RideAuction records a separate manual review of external bank evidence; financial changes require a new review. Dealers do not approve individual invoices or bank matches.
- Your seller-fee invoices are prepared after the auction closes and issued together with your other documents, using frozen fees and evidenced tax rules. One seller-fee invoice can list several of your units, each with its own sale price, fee and tax; the invoice names the buyer of each unit as it always has. Reserve Fees are assessed separately using the acknowledged agreement. Unresolved Reserve Fee tax treatment holds only the affected seller or fee-only invoice as nonpayable; buyer invoices continue independently. No dealer approval is required. Contact RideAuction about the stated blocker; do not create or pay another invoice.
- Invoice lists are part of the page. A row for an invoice that lists several units has Show units: it opens each unit with its own price, fee and tax, searchable and 25 at a time. Use Next invoices or Previous invoices for the remaining pages; the separate Earned Reserve Fees panel and statement downloads remain below the lists.
- Your settlement is the sale price less the frozen seller fee, any earned Reserve Fee and recorded taxes or other ledger deductions. RideAuction records settlement after the buyer has paid.
- A Reserve Fee on a unit that did not sell has no sale proceeds to come out of, so your dealership pays that invoice directly. RideAuction records the payment when it arrives, and the invoice then shows Paid.
- In Money & documents → Invoices, Earned Reserve Fees shows your dealership’s frozen agreed amount, sold or fee-only route, fee-agreement version, earning date and last processing reason, including tax-held obligations before an invoice can be issued. It has its own pagination and retains the selected auction scope. A temporary failure in that panel does not hide issued invoices. No dealer approval is required. An earned Reserve Fee on an unsold unit has a separate fee-only invoice. It is not deducted from a sale settlement. A supported, approved tax policy covers specified jurisdictions, sold or unsold treatment, issuer and earning dates once per version; other obligations remain held. Historical amounts stay frozen. Pay only an issued invoice using its own instructions. Related invoice notices are grouped; a statement never replaces individual tax invoices. No automatic payment is collected.
What do I need to do?
- Check the fee and your dealership’s details on the invoice; contact RideAuction if anything is wrong (it is voided and reissued, never edited).
What happens next?
Sales shows the recorded settlement and the next step. Pending does not mean money has been sent; no automatic payout occurs on this site.
