Selling

What happens after a unit sells?

What is this?

Your sale page shows one checklist: buyer invoiced, buyer pays, Bill of Sale, hand over the unit, your payout — with the one thing to do next.

How does it work?

  • Five money steps, in order: Payment reported — the buyer told RideAuction they sent money; nothing is recorded yet. Payment verified — RideAuction confirmed the money arrived and recorded it. Sale fully paid — the buyer owes nothing more on that sale. Seller payout pending (internal settlement preparation) — the sale moves here by itself once fully paid; RideAuction is preparing the payout and NO money has been sent to the seller yet. Seller paid — RideAuction sent the payout outside RideAuction and recorded it.
  • When the auction closes, the sale record, the buyer's invoice, your seller-fee invoice and the Bill of Sale are created automatically — usually within minutes, even when an auction sells hundreds of units — and you are notified in the bell and by email. You never need to ask for them. If one is not ready yet, its section on the sale page says why; RideAuction resolves it and it then appears by itself.
  • Everything for this sale is on its sale page: Overview, Invoices, Payment (with your payout statement), Bill of Sale, Pickup, Transport (optional), Disputes and History — use the section bar at the top. Every task card, email and notification opens the right section with one button, “Open sale”.
  • Your sale page shows one Sale checklist: Sold → Buyer invoiced → Buyer is paying → Buyer paid → Bill of Sale → Hand over the unit → Your payout → Done. Each step says whether it is done, yours to do now, or waiting on someone else. Most steps are automatic: the buyer’s invoice and the Bill of Sale are issued for you, and the buyer’s pickup pass is issued once the buyer has paid. Your only regular step is Hand over the unit.
  • If the unit did not sell, its checklist is: Not sold → Reserve Fee invoice (only when a Reserve Fee was earned; pay it from Invoices) → Decide next (relist, open it to offers or keep it, in After the sale → Unsold & offers) → Done.
  • Open the purchase or sale. One current next step names who acts and explains anything that holds it up. Invoice issued, payment confirmed, Bill of Sale issued, ready for pickup / picked up, optional delivery and the seller payout are separate steps. “Seller paid” never means the whole sale is complete.
  • Dealers handle ownership, title and provincial registration paperwork directly outside RideAuction. Do not upload, exchange or seek approval for it here. RideAuction generates only the Invoice and Bill of Sale.
  • Keep the unit until the buyer shows a valid pickup pass. At handover, open After the Auction → Pickup and handover, check the pass number and code (and the named person, if the buyer named one), then record the handover. With RideAuction delivery, the driver’s pickup records it.
  • Your payout statement shows every deduction, credit, reversal and recorded payout for the sale, including any recorded Reserve Auction Fee. RideAuction pays you outside this site after the buyer has paid, records the payout, then matches it to its bank statement. The bank match does not affect pickup or the Bill of Sale.
  • Odometer missing on the Bill of Sale: if the sale record has no odometer reading, your sale page shows “Odometer missing on this Bill of Sale — add the reading” in the Bill of Sale section (and a to-do card). Enter the reading, km or mi and whether it is accurate, tick the certification and submit. Only your dealership can declare it; RideAuction never changes the sale record and issues a new Bill of Sale version that prints your declaration as a correction to the sale record. Earlier versions stay on record.

What do I need to do?

  • Check the current next step in Sales.
  • Hand the unit over only against a valid pickup pass.
  • Optional, Ontario units sold before 28 Oct 2026: on the sale page's Bill of Sale section, answer the Ontario disclosures that were not asked when the unit was listed and certify them. A new Bill of Sale version prints them, dated as declared after the sale; nothing is blocked without it.

What happens next?

After the buyer pays, the Bill of Sale, the handover, any optional delivery and your payout can still be open.
