What your Bill of Sale shows

What is this?

A Wholesale Bill of Sale records one sale: both dealerships, the unit, the sale price and invoice lines, the seller’s disclosures, each dealership’s electronic acceptance, and a document integrity record. It is not a payment receipt or proof of provincial ownership transfer.

How does it work?

  • Layout: US Letter, portrait, with the RideAuction logo, the same header and “Page n of N” on every page. Download PDF opens it where you can print or save it.
  • Page 1: the sale reference, auction format, lot and sale date; both dealerships with their addresses, phone, email, tax numbers and licence numbers, labelled with their province’s name for the licence (for example OMVIC registration, AMVIC licence, VSA dealer number or Dealer’s Permit); Ride Auction Inc as the issuing intermediary with its GST/HST number; and the unit with its stock number, body type, VIN, colour, brand status, odometer, keys and delivery date.
  • Delivery date: the date the unit was released to the buyer. Until then it reads “On release”: the unit is released after full payment.
  • Sale consideration: the vehicle sale price, each fee, each tax line and the total, copied from the issued invoice and never recalculated. The invoice stays the authority for what you owe, what has been received and the remaining balance.
  • Seller disclosures: what the selling dealership declared when it certified the unit. “No brand declared” and “Clear” are the seller’s statements, not a search result. RideAuction does not run a lien or PPSA search for this document. Anything shown as NOT RECORDED was not provided, and no answer is implied.
  • Electronic acceptance record: one card per dealership showing who acted, their title when recorded, and when. The person’s name appears only on the issued Bill of Sale, after the sale. A unit RideAuction entered for the dealership says so and names no staff member. When both dealerships have accepted Terms of Bidding and Sale with clause J5 (version 10 or later), the card reads “Signed and accepted electronically”: the action is that dealership’s electronic signature. Earlier sales read “Accepted electronically” and are never relabelled.
  • Document integrity: the sale record ID and two SHA-256 fingerprints identify this exact document and the record it came from, so a changed copy can be detected.
  • Registration and transfer: the dealerships handle ownership transfer, title and provincial registration directly. A registry may require its own form or an original signature, for example ICBC Form APV9T in British Columbia. The Bill of Sale does not replace those forms, is not a payment receipt and does not release the unit.
  • If your Bill of Sale says Being prepared or Waiting for legal authority, RideAuction is waiting for something on its side, for example the published Terms of Bidding and Sale, an approved rule for the seller’s province and unit class (when RideAuction has switched that check on) or its legal setup. Published Terms do not replace RideAuction’s separate authority to issue for the seller: both are needed. Your invoice is not delayed and there is nothing for you to do.
  • Bills of Sale issued earlier keep the layout and wording they were issued with. An issued Bill of Sale is never regenerated, renumbered or deleted; a correction is a new version and the original stays in history.

What do I need to do?

  • Check the VIN, lot, price, your dealership’s name, address and licence number against your records. If anything is wrong, contact RideAuction before relying on the document.
  • Use the invoice for the exact payment deadline.

What happens next?

Open Money & documents → Bills of Sale → View Bill of Sale. Download PDF appears once the Bill of Sale is issued; the invoice and payment steps carry on in the meantime.
