Your documents after an auction (buyers)

What is this?

After an auction closes, RideAuction prepares your invoices and Bills of Sale and issues them together. You receive one notice per auction for invoices and one for Bills of Sale, not one per unit.

How does it work?

  • What happens: the auction closes and each win becomes a sale. RideAuction prepares your invoices and your Bills of Sale, then issues them together and notifies you. Your invoice for an auction can list all the units you bought from the same seller; each unit stays separately identifiable by lot, unit and VIN with its own price, fees and tax. The invoice is issued first and the Bill of Sale follows; the Bill of Sale never delays or changes your invoice.
  • Until a document is issued it is Being prepared. A document being prepared is not an invoice: it has no number, no due date and nothing is payable. You do not approve, request or generate anything.
  • Open Purchases and choose By auction (or open a unit and use its auction link) to see one auction at a time: one status (Being prepared, Partly issued, Issued, Overdue or Paid), ONE payment summary (invoiced, paid so far, balance and the next due date), your issued invoices and your Bills of Sale. With five documents or fewer they are open; with more they are behind one line. A combined invoice has Show units to open its unit lines in place (search by unit, VIN or lot; 25 at a time). Open the payment summary to print one page with the one amount to pay; it is not a tax invoice.
  • Bills of Sale are grouped by seller: one Bill of Sale can list several of your units from the same seller, with Download PDF once issued (each file has its own name). A Bill of Sale that is Being prepared has no download. If it says Waiting for legal authority, RideAuction cannot issue Bills of Sale until its legal wording and authority are in place; it issues automatically then, your invoice is not delayed and nothing is needed from you. Payment, pickup and delivery still work per unit: you name who collects each unit and RideAuction issues one release authorization per sale.
  • A problem with one unit (for example a missing billing detail or tax setting) holds only that unit. The other units and documents of the auction are issued on time. RideAuction contacts you if your action is needed.

What do I need to do?

  • Wait for the “documents are ready” notice, or check Purchases → the auction.
  • Check the Bill to details and amounts on each issued invoice, then pay by the due date using the invoice instructions.
  • Contact RideAuction if documents are still Being prepared much later than expected; do not pay before an invoice is issued.

What happens next?

Once your invoices are issued you are notified. Payment, release and pickup or delivery then follow per unit.
