How the Condition Report works

What is this?

Your dealership’s Condition Report is your statement about the unit. A Trusted Dealer designation lets a complete unit be approved and placed automatically when you submit; it never replaces your disclosures or an independent inspection.

How does it work?

  • Operation has All Yes and All No buttons that fill blank starts/runs/drives answers only, without overwriting any answer you chose yourself or Not known; the answers they filled can be switched with the other button or cleared with Undo. No ownership, inspection, branding, lien or certification answer is inferred. Review and save the result; required explanations still apply.
  • A small green Trusted Dealer badge appears beside the submission’s status (for example Draft) under the unit’s name, only when the server confirms an active designation; other dealerships see a neutral RideAuction review badge instead. Hover over, focus or tap the badge to see your review status, any report approval details and the How report review works link; Escape, a second tap or a tap elsewhere closes it. For a Trusted Dealer it also links to how direct placement works. It does not certify an independent inspection or waive required disclosures, photos or certifications.
  • Photos: JPEG, PNG or WebP up to 10 MB each, up to 20 at a time; inspection-only documents within the current upload limit shown on the control. See Photo upload tips if one is refused.
  • Why every question needs an explicit answer: nothing is filled in for you. A pre-filled “No damage” or “Clear title” would be a statement you never made. Choose the answer that is true; “Not known” is valid (except for the title / registration documents question) — never guess.
  • Known damage: answer “Yes” for anything a buyer would want to know — cracks, dents, scratches, corrosion, broken or missing panels — and describe where and how bad. Add a close-up photo under Condition evidence photos → Known damage.
  • Mechanical issues: answer “Yes” for warning lights, leaks, unusual noises, battery or charging problems, engine, transmission, brakes or steering problems, and describe them. “How does it run?” is where you explain a unit that starts or runs but does not drive properly.
  • Modifications: anything not as it left the factory — aftermarket exhausts, lift kits, tracks, wheels and tires, winches, plows, electronics, performance tuning, accessories. Describe each.
  • Missing items: missing parts, panels, manuals or accessories that normally come with the unit; and the number of keys.
  • Declare authority to sell, lien status and asset branding separately. Branding choices are Clean, Salvage, Rebuilt, Theft Recovery and Non-Repairable. The existing external title/registration requirement still governs the approved processing-fee rule; no new fee is introduced. Ownership, title, registration, transfer and lien-discharge papers remain privately between dealerships. Inspection uploads accept inspection material only; they do not establish seller authority or an independent RideAuction inspection.
  • Photos: open a topic under Condition evidence photos and add photos with “Take a photo” (on a phone) or “Add photos”. Topics you answered “Yes” to open first. See Photo upload tips for sizes and formats.
  • Saved progress: answers save only when you choose “Save Draft” or “Save & continue” — there is no autosave. The save bar shows “Unsaved changes”, “Saving…” and “Saved”; your browser warns you before you leave with unsaved answers. Documents and photos save as they upload (save your answers first — adding a file reloads the page).
  • Older drafts: if a draft was started on the earlier version of this form, answers it filled in for you show as “Select an answer” — choose them yourself before submitting.
  • After you submit: you confirm the answers are accurate to the best of your knowledge. For a dealership that is not a Trusted Dealer, RideAuction reviews the report with the unit and may approve it, request a correction with a reason or decline it. For a currently Trusted Dealer, a complete unit is approved and placed in the auction you chose as you submit. A clear report is also approved automatically; a report with a material, unknown or title issue is still placed but stays visible to RideAuction for review, and RideAuction can act on it afterwards. Your status and the decision appear on this submission page.
  • The compact green Trusted Dealer badge beside the submission status appears only when the server confirms an active eligible designation. Unanswered questions still count as remaining. Trusted status belongs to the dealership, is granted or removed by an authorized Admin, and applies to future report submissions. It does not mean RideAuction inspected the unit, and it does not waive required photos, disclosures, certifications or fee acknowledgements. RideAuction can still withdraw or move a placed unit if a problem is found. The approved report becomes part of the fixed disclosure record; correct it through a new submission rather than editing an approved report.
  • If RideAuction requests changes, open the submission, choose Fix requested items, follow the step and reason shown, save your corrections, then review and submit again with the required certifications. If the unit was declined, start a new submission only after checking the unit is still eligible in your Ride inventory; answer the report again and provide any corrected documents or photos. An already approved version stays in the history and is never overwritten.

What do I need to do?

  • Answer every required question yourself.
  • Describe every “Yes” and add a photo of it.
  • Choose “Save & continue” — if anything is missing, the page lists it and takes you to the first one.

What happens next?

Continue to Listing photos, then confirm everything in Review & submit.
